About Email Notification

The Email Notification System is a powerful tool for communicating with the Maintenance Department's customers. Email notification can be used to convert inbound emails into Maintenance Requests inside MPulse CMMS and to notify your customers anytime the status of their requests changes.

The Email Notification System is an MPulse CMMS service and as such there is no interface, other than to set it up and let it run. To set up Email Notification you go to Management Tools - Company Setup and select the Email Notification Tab.

On the left side of the screen you chose when you want MPulse CMMS to send out an email. On the right side you chose the content of the email to be sent.

Event Descriptions:


· Request Received - Confirms to requester that their request has been received into the Maintenance database.

· Request Converted to Work Order - Confirms that the Request submitted has been converted to a work order.

· WO Placed on Hold - Confirms that an active work order has been placed on Hold.

· WO Canceled - Confirms that an active work order has been canceled.

· WO Completed - Confirms that an active work order has been completed.

· WO Closed - Confirms that an active work order has been closed.

· WO Due Date Changed - Confirms that the Date Due has been changed on an active work order.

· Personnel Assigned to WO - Sends an email to a person who is assigned a work order notifying them of such.

· WO Opened - Confirms that a work order that was on Hold has had the status changed to Opened.

· Approval Needed - Sends an email to the person responsible for approving a maintenance request (See Request Approval) notifying them that they have a request to approve.**

· Request Approved - Sends an email to the Requester when an Approver has approved a maintenance request.**

· Request Denied - Sends an email to the Requester when and Approver has denied a maintenance request.**

· Request Canceled - Sends an email to the Requester when their request is Canceled.**

** Should a customer own Request Approval but not Email Notification these will be the only Event Descriptions on the list to set up.

Note: If two events happen at the same time the Requester will get two Email messages. For example, if a work order is placed on Hold and the Date Due is changed the Requester will get an Email for each event.

Email Content

The right side of the Email Notification set up screen is where you compose the content of your email messages for each situation. The email message can either by plain text or HTML format. Using HTML format allows you to imbed pictures and stationary should you chose. The setup works the same way regardless of which format you choose.

MPulse has prepared sample email content for each situation. You should edit the content to meet your own individual organizations situation.
